As community recreation organizations, our focus is squarely on supporting our communities. This commitment means ensuring accessibility and delivering value for both our members and staff. Our teams are eager to serve their communities in the best way possible, offering top-notch equipment, engaging classes and vital wellness opportunities. Artificial Intelligence (AI) presents a transformative chance to multiply our resources and significantly enhance community service.

However, a common initial hurdle is the absence of a clear and comprehensive AI usage policy. Such a policy isn’t just a bureaucratic formality — it’s a crucial foundation for both maximizing community benefit and safeguarding staff well-being.

For employees, these policies provide essential guidelines for safe experimentation and innovation, mitigating potential risks and fostering a secure, empowering environment. When crafting your policy, it’s vital to consider robust data protection, transparent community communication, and the active involvement of IT, operations and legal teams from the outset. Providing staff with the necessary tools and clear parameters empowers them to function effectively, protecting your organization and community while encouraging responsible exploration and innovation.

Key Considerations for Your Human-First AI Usage Policy

A truly effective AI policy moves beyond mere rules and embraces a “people-first” philosophy, prioritizing human connection and well-being. Here are essential areas to address, drawing on best practices for ethical and responsible integration:

1. Ethical Frameworks and Principles

Begin by defining the ethical frameworks that will guide your AI development and deployment. This involves proactively addressing potential conflicts between different ethical principles and establishing mechanisms for ongoing ethical reviews. A human-first approach means ensuring tools enhance — rather than replace — human interaction.

2. Stakeholder Governance and Diverse Perspectives

Effective AI governance requires broad representation. Determine who’ll be represented in the governance committee and how you’ll incorporate diverse perspectives in AI decision-making. Establish clear channels for stakeholder feedback on systems to foster continuous improvement and accountability. This ensures the policy reflects the needs and concerns of your entire community.

Implement robust methodologies to identify potential AI risks, categorizing and prioritizing them effectively. Develop comprehensive mitigation strategies for high-priority risks, anticipating and addressing potential negative impacts on your community and staff.

If your organization has a global reach or serves diverse communities, consider how your AI policy will address cultural differences in ethics across global operations. Strategies should be in place to ensure our governance reflects international perspectives and helps navigate conflicting international standards. 7. Feedback and Grievance Mechanisms

Transparency is key. Establish a clear and transparent grievance process for concerns related to AI or agent outcomes. Crucially, define how this feedback will inform updates and improvements to AI systems. This creates a vital feedback loop for ongoing refinement.

When engaging with vendors or partners, establish clear criteria for evaluating their alignment with organizational values and ethics. Set explicit guidelines and responsibilities for partners regarding ethics, accountability and transparency to ensure consistency across all your initiatives.

Consider the long-term social, economic and cultural impacts of AI agent usage, utilizing appropriate assessment frameworks. Develop strategies to pivot, scale back or discontinue initiatives if unintended consequences arise. Finally, plan for the sustainable financing and management of the lifecycle of AI and agent systems, including training, oversight and potential legal liabilities.

AI technology is constantly evolving. Your governance structures must adapt to emerging AI capabilities. Establish processes for regular review and updates to your AI ethics policies, and actively prepare for significant paradigm shifts in technology to maintain relevance and effectiveness.
